PURPOSE OF THE POSITION:

The Staff Accountant performs general routine accounting functions including but not limited to: journal entries, account analysis, bank reconciliations, monthly closing entries etc. Performs a variety of duties related to general accounting in the daily operation and month end closing. Reconciles bank and other assigned accounts. Makes expense related general ledger entries on a daily basis.

ESSENTIAL FUNCTIONS:

 

Includes the following but other duties may be assigned as business needs require:

 

Accounts Payable

  • Accounts Payable (AP) functions including processing and monitoring payments and expenditures
  • Process Accounts Payable payments in a timely manner in coordination with cash management approvals by CFO/Controller
  • Maintain orderly Accounts Payable files and supporting documents
  • Keeps Accounts Payable current and reviews terms regularly
  • Preparation of monthly closing journal entries including daily posting of prepaid expenses, insurance and rent accruals and unallocated expenditures
  • Reconcile Accounts Payable sub-ledger accounts as part of month-end close process, including appropriate application of outstanding credits
  • Fixed Assets
  • Track Fixed Asset additions
  • Ensures fixed assets are recorded, depreciated and reconciled properly between QuickBooks and Depreciation Works in a timely manner
  • Capitalize new fixed assets additions when placed in service
  • Prepare and post monthly depreciation journal entry
  • Prepare annual Personal Property tax reporting
  • Month-end Close
  • Prepare and post journal entries and reconciliations for the general ledger as assigned and as requested in a timely manner
  • Year-end Close
  • Prepare IRS Form 1099 forms as required
  • Prepare schedules for annual audit including fixed asset schedules
  • Overall Accounting Support
  • Apply accounting policies and principles to properly record, report and maintain financial data
  • Develop and maintain updated desk procedures for assigned duties
  • Provide assistance and early warning of any general ledger, process or policy inconsistencies
  • Assist with special projects and perform other general accounting duties as assigned

KNOWLEDGE AND SKILL LEVELS:

  • The Staff Accountant assists the Finance staff and the Controller in the preparation, posting and reconciling of accounting data on a daily basis in order to give the decision makers of the agency the financial information to be able to make sound business decisions based on the accurate and current financial data.

     

    The Staff Accountant will have the following experience and attributes:

    • BS/BA in Accounting or experience equivalent
    • At least three years' experience as an accountant or experience equivalent with prior experience for Accounts Payable accounting cycles
    • Highly detail-oriented and organized
    • Previous non-profit or government experience desired
    • Ability to meet a constant stream of deadlines
    • Proven ability to work both independently and collaboratively with different levels of staff
    • Proactive with excellent troubleshooting, problem resolution, and follow-through skills
    • Excellent written and oral communication skills
    • Proficiency in Microsoft Office with heavy emphasis on Excel, including pivot tables and VLOOKUP; Access reporting
    • Familiarity with QuickBooks accounting software preferred
